Guidelines for Presenters

General Guidelines

Presentations are allotted 15 minutes for the talk and 5 minutes for questions from the audience with a total duration of 20 minutes. All lecture rooms will be equipped with a laptop and a video projector or TV monitor (aspect ratio 16:9). Each computer will be running Microsoft Windows 11, along with Microsoft Office 2019 Pro, Adobe Acrobat Reader DC 2023, and VLC 3.0.18. No computer running Mac OS will be available.

Presentations with physical presence

All presenters should arrive at their lecture room at least 10 minutes before the start of the session to introduce themselves to the Session Chair/Co-chair and transfer their presentation files to the conference computer using a USB Flash Drive. A volunteer has been assigned to each room to help with problem troubleshooting. Please note that in an effort to reduce the possibility of technical errors during the conference, presenters will not be offered the option to use their own laptops for their presentation.

Important note: Presenters transferring Mac OS presentations on the conference computers should make sure that their presentation is able to run smoothly with either Microsoft PowerPoint 2019 or Adobe Acrobat Reader DC 2022 running over Microsoft Windows 11. We encourage presenters to check the compatibility of their presentation with the above software in a PC that runs Microsoft Windows 11 prior to the conference.

Presentations with non-physical presence

In the case of non-physical presence, a contributed paper presentation will take the form of a pre-recorded video playback. All video presentations will respect the conference’s technical program; hence, the authors should make themselves available via virtual presence to answer any questions at the end of their video presentation. All videos must be uploaded via the following password-protected link by June 11, 2023 (extended deadline June 22, 2023):

Requirements for video presentations

Video presentations can be prepared with any suitable software. A suggested option is the use of the Zoom software, which does not require a paid license for video recordings. Detailed instructions on video recording with Zoom can be found here. All video presentations should comply with the following requirements:

  • Duration: 15 minutes
  • Maximum filesize: 250 MB
  • Fileformat: mp4
  • Minimum height: 480 pixels
  • Aspect ratio: 16:9
  • Filename: paper_id.mp4

* The authors should make sure that the name of their uploaded video presentation takes the form: <paper_id.mp4>, where id is their paper ID/submission number. All video presentations will be checked for compliance at the time of submission; files not meeting the above requirements may be rejected after uploaded.
